Introduction
Peterborough Escapes ("we", "us", "our") is a social meetup group based in Peterborough, UK. This policy explains what personal information we collect through our website and membership, why we collect it, and what we do with it.

Information we collect
When you join as a member or sign up for an event:
- Name
- Email address
- Phone number (optional)
- Any accessibility needs or emergency contact details you choose to give us for a specific event
- Membership status and payment records — we do not store card details, see Payments below
When you contact us, we hold your name, email address and the content of your message.
Our website only sets cookies that are necessary for it to work. We do not use website analytics, advertising cookies, or any form of browsing tracking.
How we use your information
- Managing your membership and account so you can join, sign in and attend events. Legal basis: contract.
- Sending event confirmations, reminders and practical updates so you know where and when to turn up. Legal basis: contract.
- Handling accessibility needs and emergency contacts so we can run events safely and inclusively. Legal basis: legitimate interests, or vital interests in an emergency.
- Emailing you about upcoming events and group news. Legal basis: consent, which you can withdraw at any time.
- Keeping records of payments and bookings. Legal basis: legal obligation.
Withdrawing consent does not affect anything we did beforehand. Every email about upcoming events includes a way to opt out, or you can simply email us.
Who we share it with
We do not sell your information and we do not share it for marketing purposes. We share limited information with the services we use to run the group:
- Our website and email hosting providers
- Stripe, our payment provider
- Venues and event organisers, where they need a headcount, guest list or accessibility information
We may also disclose information where we are legally required to do so. Some providers may process data outside the UK; where that happens we make sure appropriate safeguards are in place, such as UK adequacy regulations or standard contractual clauses.
Payments
Payments are handled by Stripe. Your card details go directly to Stripe and are never seen or stored by us. Stripe's own privacy policy applies to that processing.
Photos at events
We sometimes take photographs at events and may use them on our website and social media to show what we get up to. If you would rather not appear in photos, let an organiser know at the event or email us and we will respect that. If a photo of you is already published and you want it removed, contact us and we will take it down.
Cookies
Our website only uses cookies that are necessary for it to work, such as keeping you signed in and keeping your session secure. We do not use advertising or analytics cookies. You can block or delete cookies through your browser settings, though parts of the site may not work properly if you do.
How long we keep it
- Member details: for as long as you are a member, and for 12 months afterwards in case you rejoin
- Event-specific information such as accessibility needs and emergency contacts: deleted shortly after the event
- Financial records: 6 years, as required by UK tax law
- Email subscriptions: until you unsubscribe
Keeping it secure
We use appropriate technical and organisational measures to protect your information, including access controls and encrypted connections. Only organisers who need access to member details have it.
Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the information we hold about you
- Ask us to correct anything that is wrong
- Ask us to delete your information
- Ask us to restrict or object to how we use it
- Ask for your information in a portable format
- Withdraw consent for marketing at any time

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Children
Our events and membership are intended for adults aged 18 and over. We do not knowingly collect information about children.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated shown at the top.
